Workspace Settings
Timezone, invite link, AI API, storage, members, JSON export, and workspace deletion.
Workspace settings control the parameters that affect the whole team: timezone, invite link, AI API access, storage, member overview, JSON export, and workspace deletion.
In short: the owner sees all administrative actions. Admins can work with team settings and the invite link, while JSON export and workspace deletion remain owner-only actions.
1. How to open settings
Open the app menu, go to Administration, and select Workspace settings. Before changing anything, check the workspace name in the header: settings apply only to the currently selected workspace.
2. Workspace timezone
The workspace timezone is used as the default for dates and recurring workflows when there is no more specific device context. You can use the device timezone or select an IANA timezone manually.
3. AI access
The AI API block opens the settings for connecting an external AI assistant to iTasks data. This is part of PRO workflows and is available to the workspace owner. Access setup is covered in AI API Access.
4. Invite link and members
The invite link lets you bring users into the workspace. In the current interface, the link appears automatically when the block opens and is valid for 24 hours: Telegram Mini App copies a Telegram link, while Android and iOS apps copy a mobile app link. If the member limit has already been reached, the block shows a clear limitation instead of the link: Free opens PRO subscription, and PRO opens support. The member list in settings is mainly a quick team overview. To change roles, remove a member, or grant access to projects, use the member management section.
5. Storage
The storage block shows how much file storage the workspace is already using. Current limits are FREE - 100 MB per workspace and PRO - 5 GB per workspace. For plan details and read-only behavior, open Subscription, Plans, and Limits.
6. JSON data export
The owner can export workspace data as JSON at any time, regardless of whether the subscription is active. Use export for a backup, migration to another system, or an archive before deleting the workspace.
Practical rule: before deleting a workspace, download the JSON export first. After manual deletion by the owner, workspace data is removed permanently.
7. Workspace deletion
Deletion is available only to the owner. The interface first shows a warning and then requires explicit confirmation. This action removes the workspace together with its projects, tasks, discussions, and related data.
After deleting a workspace, the user can create a new workspace under the same account at any time. Deletion itself does not add a separate restriction on creating another workspace.
